How to Certify Documents

If you do not wish to provide an original document or need an affidavit - go to any lawyer or Justice of Peace
  • A JP can witness your signature on a document.
  • A JP can certify copies of documents for you.
  • A JP can complete an affidavit for you. This is a document that is sworn on oath or affirmed and is normally used in a legal proceeding.
  • A JP can complete a declaration for you. This may be a statutory declaration made under the Oaths and Declarations Act 1957.

How to get a Police Certificate done

You may have to supply a police certificate (or similar) as evidence of good character, depending on which category you apply under.

Procedures

Police certificates must be less than six months old when you submit your application. INZ may ask for further police certificates if your initial police certificate becomes a year old from its date of issue before they make a decision on your application.

Police authorities in some countries will only send the certificate direct to Immigration New Zealand. In such cases we recommend that you request your police certificate three months before you apply for your visa. We also recommend that you provide INZ with a copy of the receipt for the requested police certificate (if this is available) to help them to track your certificate and as evidence that the police certificate has been applied for.

If police certificates are unavailable

If you cannot get a police certificate, provide detailed information of your attempts to get one. If INZ are satisfied that police certificates are not available or it would be unduly difficult for you to get them (for example where the authorities of any such country will not generally provide such certificates), they may instead ask you to make and provide a separate statutory declaration in both English and your own language.

If a statutory declaration is required, it must detail your attempts to obtain a police certificate and state whether or not you, or any accompanying family members, have been found guilty or convicted of, or charged with offences against the law in that country. The statutory declaration should also be corroborated by other information attesting to your character.

How to get a Medical Certificate done

Submission of medical and/or X-ray certificates

Immigration Medicals

If you’re applying for a New Zealand visa, you may need to get a chest x-ray and/or medical certificate as proof of your good health. INZ use x-rays to check for tuberculosis (TB) and medical examinations to check for other medical conditions.

 

All medical certificates are sent to INZ online by approved PANEL PHYSICIANS. You cannot do medical tests at unapproved clinic if a panel physician is available in your country.

 

If you’re from a country that uses eMedical, your panel physician can use eMedical to send us your chest x-ray and medical examination results online. Your physician will give you an eMedical reference number after you’ve been examined – you’ll need to provide this with your visa application.

When to have your x-ray or medical examination

The chest x-ray and medical certificates that doctors send INZ to confirm you’ve had your x-ray and/or medical examination must be no more than 3 months old when INZ receive them. For this reason, it is recommended to arrange any medical appointments as soon as you can before applying for a visa.

What to bring to your appointment

  • an identity document
  • your glasses or contact lenses if you use them
  • a list of any medication you are taking (including dosage)
  • any relevant medical reports or x-rays
  • if you’re 17 or under, your parent or legal guardian with you
  • if you’re using an immigration adviser, a completed ‘Immigration Adviser Details’ form.

If you choose to, you can bring a family member, support person, and/or interpreter to your appointment. Let the clinic know when you make your appointment if you will be bringing another person with you.

Getting your documents translated to English

Translating documents

If any of your documents are not in English, you must have them translated into English by a person familiar with both English and the language in which the documents are written.

If you are in New Zealand – we recommend using Internal Affairs for translations:

Any translation you provide must:

  • not be made by a family member or a person with an interest in the outcome of the application
  • be certified as a correct translation made by a person familiar with both languages and competent in translation work
  • be prepared and certified by a recognised translator from a recognised private or official translation service
  • be on the official letterhead of the translation service
  • bear the stamp or signature of the translator
  • be accompanied by a copy of the document that has been translated (the application form will say whether that copy should be an original or a certified copy or a photocopy)
  • be paid for by you (the applicant).

 

Translations may be prepared by:

  • language departments of secondary schools or universities
  • reputable people within the community who are known to translate documents accurately
  • embassies (if the translation is endorsed with the appropriate embassy seal)
  • any other recognised private or official translation service
  • the Translation Service of the Department of Internal Affairs.
